BULLITT COUNTY PUBLIC LIBRARY

BOARD OF TRUSTEES

MONTHLY MEETING

December 11, 2001

The Bullitt County Public Library Board of Trustees met at 5:30 p.m. on Tuesday, December 11, 2001, at the Ridgway Memorial Library.  Those present were Donald Cobb, Randy Matlow, Judy T. Jackson, Brenda Roberts, Delorse Ashby, Pam Polston, and Joyce Manning.  Mr. Tom Givhan was a guest.  Donald Cobb called the meeting to order at 5:30 p.m.

The minutes of the last meeting were read.  Joyce Manning made the motion to accept the minutes as written.  Brenda Roberts seconded the motion.  The motion carried.

The Treasurer’s Report was given.  Pam Polston made the motion to accept the Treasurer’s Report as given.  Delorse Ashby seconded the motion.  The motion carried.  The Treasurer’s Report will be filed for audit.

            Regional Director’s Report:

            Nelda Moore did not come.

            Library Director’s Report:

Randy reminded the Board that we usually hold the monthly meetings once a year at the branches.  He asked the Board if they wanted to go ahead with this, or wait until Spring.  The board decided to go ahead with this, and would take them in alaphbetic order.  This means Dorothea Stottman will be January, Lebanon Junction will be February, and Mt. Washington will be March.

The next payroll falls on Christmas Day.  Judy asked the board if it would be okay to do the payroll on the Thursday and Friday before and have them ready by Friday afternoon.  They would be dated for 12-24-01, but the staff could get them before Christmas.  The board agreed to this idea.

The forms for the new e-rate for year 5 needs to be by next Wednesday.  We probably ask for the same things as in the past years.

We still do not have a resolution on our bond.  Mr. Spainhour has promised they will be ready and okay soon.  The first bill to be paid will be January 2002.  Our reserves are okay for now, and we are expecting the first big tax check soon.

Randy welcomed Mr. Givhan.  Randy reviewed the prospect of receiving some revenue from the Edith Grisby Trust in order to put a senior computer area in the new Mt. Washington Library building.  Mr. Givhan gave the board the specifics and history about the use of this trust.  It must be spend for the Bullitt County elderly.  He also told them what the trust has sponsored up till now.  Mr. Givhan does have a plaque that he would like to have placed in the room at Mt. Washington, and possibly name the room after Mrs. Grisby.  The endowment of at least $25,000 is possible with possibilty more if needed.  Mr. Givhan would also like to think about future ideas for the Lebanon Junction, and Dorothea Stottman area.  Mr. Givhan suggested he write a letter stating the preliminaries, then the Board can decide if thy can follow through with them.  The Board agreed this would be best.

Randy showed the Board the material and furniture selection we had received from the CBG people.  The Board considered the options, and decided on their own preferences in choices.

Brenda Roberts made the motion to adjourn the meeting.  Joyce Manning seconded the motion.  The meeting was then adjourned at 7:00 p.m.

The next meeting will be January 8th, 5:30 p.m. at the Dorothea Stottman Library.

Respectfully submitted,
